How Vendee Property Buyers Pty Ltd collects, uses, stores, and protects your personal information. This policy is governed by the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Vendee Property Buyers Pty Ltd (ACN 670 409 793) is an independent buyer's agency operating in Queensland under Corporate Licence 4714562, issued by the Queensland Office of Fair Trading. Our Principal is Amanda Conroy (Individual Licence 4710727). In this policy, "Vendee", "we", "us", and "our" refer to Vendee Property Buyers Pty Ltd.

2. The information we collect

We collect personal information necessary to perform buyer's agent services and to communicate with prospective clients. This may include:

  • Name, address, email, and phone number
  • Acquisition mandate details (budget range, capital position, target precincts, property type, timeline)
  • Financial position summary (cash, lending capacity, broker details) where relevant to the engagement
  • Identification documents where required by law (for example, anti-money-laundering verification)
  • Communications between you and Vendee (emails, call notes, meeting summaries)
  • Information from your nominated professionals (conveyancer, broker, accountant, building and pest inspector) where you have authorised us to coordinate with them

We do not knowingly collect sensitive information (as defined under the Privacy Act) unless it is necessary for the engagement and you have provided consent.

3. How we collect information

We collect information directly from you through:

  • Website forms (including the Forensic Risk Index download form and the Strategy Briefing booking)
  • Phone calls, video calls, and in-person meetings
  • Email correspondence
  • Referrals from professional partners (with your knowledge or consent)
  • Publicly available sources (for example, property registry information relevant to your engagement)

4. How we use your information

We use your personal information only for the following purposes:

  • Performing buyer's agent services under your engagement with Vendee
  • Communicating with you about your acquisition mandate and active engagement
  • Coordinating with third-party professionals you have nominated (conveyancer, broker, building and pest inspector, accountant)
  • Sending you content you have specifically requested (the Forensic Risk Index, related educational material, and follow-up nurture emails where you have opted in)
  • Meeting our legal and regulatory obligations under the Property Occupations Act 2014 (Qld), the Privacy Act 1988 (Cth), the Australian Consumer Law, and other applicable law
  • Improving our services through aggregate, de-identified analytics

5. Who we share information with

Vendee does not sell or trade personal information. We disclose information only:

  • To third-party professionals you have nominated (your conveyancer, broker, accountant, building and pest inspector) for the purpose of completing your acquisition
  • To service providers who help us operate (such as email delivery, customer relationship management, secure cloud storage). These providers are bound by confidentiality and data protection obligations.
  • Where required by law, court order, or regulatory authority
  • To protect the rights, property, or safety of Vendee, our clients, or others

Selling-side property agents and vendors are never given direct information about you, your budget, or your preferences without your explicit prior consent. This is core to our buyer-only representation.

6. How we store and protect your information

Personal information is stored on secure cloud platforms (including HubSpot for client relationship management and Google Workspace for document storage and email), with access controlled by multi-factor authentication and role-based permissions. We take reasonable steps to protect your information from misuse, loss, and unauthorised access, modification, or disclosure.

We retain personal information for the period necessary to perform the engagement, plus the period required by law (typically seven years for tax and business records). When information is no longer required, it is securely deleted or de-identified.

7. Cookies and website analytics

Our website uses cookies and analytics tools (including Google Analytics 4 and Google Ads conversion tracking) to understand how visitors use the site and to improve our content. This data is generally aggregated and does not identify you personally. You can disable cookies through your browser settings.

8. Marketing communications

Where you have opted in (for example, by downloading the Forensic Risk Index), Vendee may send you periodic emails with educational content, market commentary, or service updates. Every email contains an unsubscribe link in the footer.

9. Access, correction, and complaints

You have the right to request access to the personal information we hold about you, and to request correction of any information that is inaccurate, incomplete, or out of date. To do so, email Amanda at amanda@vendee.com.au.

If you believe Vendee has breached the Australian Privacy Principles, please contact us first at amanda@vendee.com.au so we can address the issue. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or 1300 363 992.

10. Overseas disclosure

Some of our service providers may store data on servers located outside Australia (for example, HubSpot servers in the United States, Google Workspace servers in various jurisdictions). These providers are bound by their own privacy obligations equivalent to or stronger than the Australian Privacy Principles. By engaging Vendee, you consent to this overseas storage where it is necessary for the operation of the engagement.

11. Changes to this policy

We may update this Privacy Policy from time to time. The "last updated" date at the top of this page indicates when the most recent change was made. Material changes will be notified to active clients by email.
